Violation Letter Explanations

Your board of directors for you homeowner, condominium, luxury high rise, co-operative, property owner, time share resort condominiums or master planned community association develops procedures and policies for the rules outlined in your community documents. We uphold these guidelines by alerting owners when they aren’t following them.

We have derived this page to assist you in better understanding the violation process of your homeowners’ association’s (HOA) rules and regulations. Listed below are three common situations with the appropriate corresponding forms.

If you received a letter that sites you for items that just aren’t there, please fill out the Doesn’t Pertain to Me form and accept our apologies! We will double-check your home during the next inspection.

If you don’t understand the rule or problem, fill out the Further Explanation form to the best of your ability. We will review it in a timely manner and respond within a couple days.

If you have resolved this matter and would like to inform us about it, please complete the I Received a Violation Letter form below and we will update your file.

If you have a hardship and would like additional time, please contact the board. We are happy to work with you during this troubling time, just complete the I Received a Violation Letter form below. Please give an approximate date when you anticipate the matter will be resolved.

I Received a Violation Letter

If you have been contacted once, or more, on a specific matter, please don’t worry. This is simply an informative contact from your HOA to remind you of its guidelines, policies and rules. It is not uncommon to receive these letters. You should only be concerned if you aren’t correcting a known problem or communicating with the community about it.

If you have corrected the matter, take no further action. Your file will be noted the next time we inspect.

Documents and relevant laws are reviewed prior to contacting you, so please be thorough when filling out this form. A licensed community association manager or customer care tech will be in touch to discuss this matter.

QPM in there to help stretch our association dollars. Nobody likes to be told what to do or how to do it, but that's what you sign up for when you live in a Deed Restricted Community. Everybody likes a clean neighborhood, club house, swimming pool, tennis courts, etc... but to maintain those amenities, dues have to be paid and the rules followed.
